A small startup based in Canada is seeking a highly organized and detail-oriented Executive Assistant / Virtual Assistant to support their leadership team in a dynamic, fast-paced environment.
This role goes beyond traditional admin support: you’ll help build systems, manage projects, and act as a trusted partner in daily operations.
If you’re resourceful, thrive on creating order, and can confidently communicate with clients and vendors in English, this could be the perfect fit.
Key Responsibilities
Provide high-level executive support, including calendar management, inbox organization, and client communication.
Participate in video and phone calls with team members, clients, and vendors.
Manage and track projects, ensuring deadlines and deliverables are met.
Create and improve processes and systems to streamline operations.
Call vendors to request quotes, gather information, and negotiate details.
Support with administrative tasks such as data tracking, documentation, and preparing reports.
Collaborate with the leadership team and coaches to ensure smooth operations.
Must-Haves
Highly organized and detail-oriented (top priority).
Proficiency in Notion, Google Suite, Slack, Miroboard.
Proven ability to create processes/systems in past roles.
Strong project management skills with the ability to handle multiple priorities.
Exceptional English proficiency to communicate with clients professionally.
Comfortable with video and phone calls for client and vendor communication.
Prior experience as an Executive Assistant in a small company/startup environment.
Nice-to-Haves
Previous experience in account management.
