Overview
A boutique, fast-growing personal injury law firm is seeking a highly organized Case Manager Assistant to support our legal team in handling accident and injury cases with precision and compassion. The ideal candidate will have prior experience in a personal injury law firm and be fluent in both Spanish and English. This role is crucial to ensuring that each case progresses efficiently, from intake through settlement, by assisting with documentation, medical coordination, and client communication.
Key Responsibilities
- Support Case Managers with daily case management tasks across multiple active files.
- Coordinate medical appointments, send reminders, and follow up with clients as needed.
- Request, track, and review medical records and bills, ensuring documentation is accurate and related to the case.
- Maintain and update client records, forms (e.g., SR-1, SR-19), and case files in the firm’s software system (Filevine and Discovery).
- Communicate with medical providers and insurance carriers to confirm billing accuracy and subrogation status.
- Request police reports and assist in ensuring accurate documentation across all case components.
- Enter and track case data, deadlines, and task assignments in Filevine.
- Adjust due dates and task priorities if timelines shift, maintaining consistent progress on each case.
Qualifications
- Minimum of 1 year of experience working in a personal injury law firm.
- Strong organizational and time management skills.
- Familiarity with handling medical records, billing, and insurance forms.
- Experience using legal case management systems such as Filevine is strongly preferred.
- Excellent written and verbal communication in both Spanish and English.
- Ability to manage sensitive client information with discretion.
- Proactive, detail-oriented, and capable of working within tight deadlines.

Pay: $1,100,000.00 - $1,400,000.00 per month
