About the role:
We are seeking a highly organized and proactive PMO (Operations & Executive Support Specialist) to support senior leadership across LATAM, with a focus on South Cone. Acting as a central point of coordination, this role ensures smooth planning, execution, and follow-through for key meetings, events, business initiatives, and operational processes. The ideal candidate thrives in a fast-paced, global environment, excels at cross-functional collaboration, and drives efficiency while fostering a positive team culture.
Responsibilities:
1) Leadership & Executive Support
- Provide day-to-day operational and administrative support to LATAM leaders, including calendar management, meeting coordination, travel arrangements, and expense reporting.
- Manage meeting preparation and follow-up for leadership and cross-functional sessions, including agenda development, materials gathering, note-taking, and tracking of action items.
- Oversee select business initiatives from development through successful execution under senior leadership guidance.
- Assist and communicate with GBS and cross-functional leaders in decision-making, program management, and initiative implementation.
2) Meeting, Event & Rhythm of Business Management
- Lead the planning and execution of leadership offsites, regional gatherings, All Hands meetings, and cultural moments, managing logistics such as venue selection, vendor coordination, catering, transportation, swag, and IT setup.
- Own recurring meetings like the South-Cone LT sessions, ensuring agendas, documentation, action tracking, and timely follow-ups.
- Support the Rhythm of Business (ROB) across LATAM, including Sales Meetings, LT Executive Sessions, Manager Forums, and quarterly Pod Lead 1:1s.
3) Operational Efficiency & Process Improvement
- Improve current processes and coordinate organizational procedures for optimized efficiency and productivity.
- Oversee daily operations in collaboration with senior management and regional leaders, including managing calendars, aligning deadlines and deliverables, generating correspondence, and coordinating meetings.
- Build and develop relationships with key cross-functional partners to enhance responsiveness, streamline operations, and define new operational strategies.
4) Team Engagement & Communication
- Serve as liaison between staff, executives, and senior leaders regarding company climate, employee well-being, project updates, proposals, and planning.
- Gather and share feedback on morale and engagement to help leadership stay attuned to emerging needs.
- Serve as a project-level subject matter expert, handling inquiries, developing action plans, and preparing/disseminating communications.
